Malvern Preparatory School uses various means of communicating information to current parents, prospective parents, alumni, the community at large and the media. We use printed publications, e-mail news releases and the Internet to promote the School and to share Malvern news. The following policy deals specifically with how we use students’ pictures, names and information in our marketing and promotional materials.
Technology and Communications Policy
- Media: When sending information directly to the media, Malvern Prep will include the student’s full name, his hometown and occasionally his parish (if applicable and if requested). If photos are available, they will also be supplied to the media and students will be identified in those photos.
- Website – Public: When including information on the publicly accessible pages of the School’s website (www.malvernprep.org), Malvern Prep will include the student’s full name. In order to protect the privacy of the student, no personal information, such as hometown, or images identifying an individual student will supplement the text. When an image is used, the student(s) will not be specifically identified. This also pertains to online rosters.
- Website – Password Protected: However, in the “Community Online” password-protected section of the website, Malvern may include a corresponding photo with a student’s name since this section is for parents viewing only and cannot be accessed by the general public without the password.
- Publications: When publishing information in school publications, such as newsletters, magazines, annual reports, marketing materials, advertisements, etc., Malvern Prep may include the full names of students as well as identify the students in corresponding photographs and include their hometown, if necessary.
Parental Permission
Each year, Malvern will make parents aware of this policy and they will have the obligation to actively contact the School in writing if they want their son(s) to be excluded from Malvern’s technology and communications materials (media, public website and publications, etc).
